Jobs: Event Manager - Review and Placement

Event Manager – Review and Placement

Who we are

At Gen Con LLC, our mission is to create opportunities, experiences, and communities where people can share the joy of games together. At the core of what we do is producing the largest consumer hobby, fantasy, science fiction, and adventure game convention in North America, held every year in Indianapolis, IN. Gen Con, “The Best Four Days in Gaming,” is 70,000 attendees, over 520 exhibitors, and 20,000 ticketed events, operating 24 hours per day, in over 1.2 million square feet of event space in the Indiana Convention Center, Lucas Oil Stadium, and many surrounding hotels. Just as new technologies and a larger, more diverse set of audiences are driving change in the games we play and how we play them, we dedicate ourselves to creating and adopting the best tools and practices possible to support and showcase tabletop gaming culture wherever gamers gather, be it in the physical space of a convention center or in the digital space of our social media communities and streaming channels.

What we’re looking for

The Event Department at Gen Con is growing! We are looking for a fourth person to join our tight-knit, passionate team that is collectively dedicated to doing everything we can to help people come together at Gen Con and do things.

Specifically, we want someone with the knowledge and experience to focus on game events, reviewing thousands of event submissions and coordinating with hundreds of event organizers to ensure that all the games at the convention are accurate, have suitable locations, and all special requirements have been accommodated.

This is detailed, data-driven work in reviewing details, confirming requests, and preparing floor plans to create the space for our community to come together every year and create the best four days in gaming.

What you’ll do

  • Work closely with a small team to support and cultivate the highest quality events possible at Gen Con every year
  • Review game event submissions for clarity, accuracy, completeness, and appropriateness
  • Manage a small team of event reviewers
  • Coordinate with gaming groups and organizations running significant events at the convention to review their needs and schedules
  • Process requests for space rental, including invoicing, confirming space, and reviewing game/demo schedules
  • Confirm locations and special requirements for game events
  • Prepare floor plans and space orders for game events, including confirming those with Operations and individual venues, as needed

What you bring to the table

  • Possessed of a strong passion for helping people connect and play games with each other
  • Broadly familiar with a wide spectrum of games to be able to understand basic needs and questions for almost any game type – and able to investigate further as needed
  • Detail-oriented, able to juggle multiple complicated tasks at once with appropriate documentation – and to scan data quickly to identify possible mistakes or errors
  • Highly proficient in Microsoft Excel, particularly with:
    • Filters & conditional formatting
    • Nested formulas
    • Pivot tables
  • Proficiency with Google Forms, Docs, & Sheets
  • Experienced with working remotely, including being self-directed and comfortable communicating clearly through a variety of platforms and methods, including both text and video calls

Bonus Points

  • Knowledge of Gen Con a plus; attended Gen Con before
  • Interest in tabletop gaming and geek culture
  • Experience with and passion for conventions, both as an attendee and an organizer – the work revolves around planning a convention each year, so existing experience is a big help, as is a breadth of experience, both in terms of attending/running events at a convention but also attending different kinds of conventions/live events
  • A broad and extensive knowledge of games of all types, particularly analog and tabletop gaming – this position will be reviewing and managing the needs for lots of different games every year, so the ability to recognize a game’s potential needs or demand by name is extremely helpful
  • Experience with databases, specifically setting them up and leveraging them – a lot of data is currently managed via spreadsheets that would probably be better placed in proper databases
  • Experience with data analysis and statistics – related to databases above, proficiency with statistics would greatly improve post-convention analysis and prediction of future trends. Experience running games, particularly in a convention-like environment
